As the Executive Assistant, you will be an essential partner to our leadership team, ensuring that our operations remain efficient and organized. This role requires a mix of administrative excellence, strategic problem-solving, and proactive communication. You'll handle a wide range of tasks, from scheduling and correspondence to project coordination and business operations support. Key Responsibilities:

  • Managing calendars, scheduling meetings, and coordinating appointments.
  • Handling email correspondence and acting as a liaison between leadership and internal/external contacts.
  • Assisting with project management, including tracking deadlines, preparing reports, and organizing documentation.
  • Conducting research and preparing presentations to support decision-making.
  • Managing administrative tasks such as bookkeeping, invoice tracking, and expense reporting.
  • Coordinating office operations, supplies, and vendor relationships.
  • Assisting in the process of business entity updates and documentation.
  • Supporting hiring efforts, onboarding new employees, and maintaining HR records.
  • Executing special projects and other duties as assigned to support the owner and leadership team.

What We're Looking For:

  • Proven experience as an Executive Assistant, Office Manager, or similar administrative role.
  • Strong organizational and multitasking skills, you're the type of person who thrives in managing multiple projects simultaneously.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office, Google Workspace, and project management software.
  • Experience handling confidential information with professionalism and discretion.
  • Ability to anticipate needs and proactively solve problems before they arise.
  • A resourceful, adaptable, and proactive attitude.
  • Prior experience in the construction or real estate industry is a plus but not required.
